PACE Gmail Drafts Privacy Policy

Purpose
PACE Gmail Drafts prepares employee-requested supplier RFQs and offers in Gmail. For new PACE-linked RFQ drafts, it also records observed sends back to PACE RFQ Station. It never sends email automatically.
Information handled
The extension handles your PACE business email address, supplier recipient, subject, request text and RFQ reference to prepare drafts. It reads the visible Gmail account identity and preserves the signature inserted by Gmail. For tracked RFQs it checks the compose recipient, subject, part number and reference when you press Send, observes Gmail's Message sent notification, and waits 35 seconds to allow Undo Send. It does not scan inbox messages or collect mailbox passwords or Google API tokens.
Storage and retention
Draft text is passed through extension components to Gmail and is not kept in extension storage. Minimal prepared-request metadata (account, supplier email, RFQ reference, part number and subject) is stored locally in Chrome for up to 14 days. Observed send metadata (account, supplier email, RFQ reference, part number, send time) is queued locally for up to 30 days, or until PACE acknowledges saving it. Expired metadata is pruned when the extension processes tracking messages. Each queue is capped at 500 entries. No analytics or advertising services are used.
Sharing and use
Draft content is inserted into your Gmail account, where Google may save it. Observed send metadata is passed to the signed-in, matching PACE RFQ Station account and stored through PACE's existing protected supplier-response records. Authorized PACE team members can see that linked supplier activity. The extension does not sell information or use it for unrelated purposes. It has no separate extension-operated server. PACE and Google's services have their own retention practices.
Limitations and controls
You choose when to send. Review From, recipients, request and signature. Tracking applies to new linked PACE RFQs sent from matching English Gmail in Chrome while the extension is active. Keep Gmail open through the confirmation period. Offers, unrelated drafts, ambiguous sends, changed recipients, scheduled sends and unverifiable sends are not automatically recorded. PACE must be open and signed in to sync; otherwise confirmed events stay queued. A send notification does not establish delivery or supplier availability. You can disable or uninstall the extension; uninstalling removes its local storage but does not delete Gmail drafts or PACE records already saved.
Access
The extension runs on mail.google.com and the two PACE production origins: rfq.pacegroupaviation.com and pace-sourcing-board.rocky-0dc.workers.dev. Chrome local storage is used for the limited tracking queue described above.
